One of the key factors while providing accounting as a service is automation. CBP needed a way to get bills and receivables from CBP customers to CBP service providers. Vertizone was happy to help in design and implement an Email consolidation solution.

Solution & Implementation

When we ask customers to consider accounting service, we cannot ask them to purchase additional equipment/hardware/software. We should be providing service on they already have. When we carefully looked at what the customer already has, We found out they either had a desktop, broadband and scanner or they had a fax machine.

So we gave the customers an email or a fax number where they can send their bills and receivables. Email & fax service and the server on which our software solution would run was provided by the hosting company servicing CBP. Input to the solution would be an email with bills and receivables attached to the email. These attachments could be editable documents such as word and excel or image formats such as tiff, pdf and png files.

Emails we received from customers had to be stored in a DB for two reasons. (a) Future reference and (b) Further processing. Technically, it had to run on a windows platform and should use an open source DB such as MySQL or Postgre SQL. With some of our experience, thorough search and R&D, technical requirements and cost constraints, we short listed Email2DB software in the center of the solution.

During our R&D we found out that it does most of the things that we wanted. Using this software, we would have access to email subject, message body, attachments, email date and time. We had to convert all of these into one image format so that we could combine all of them into one file. Through search, R&D and cost constraints, we narrowed down to PNFCC a tool that converts almost all formats to tiff format. We decided on tiff for two reasons.

• Its an image format and no tampering can be done.
• This format takes the least amount of harddisk space among all the image formats.
• It is a standard format and the tools needed to open tiff files comes with standard windows OS.

Conclusion

CBP can now approach a customer and confidently give them an email address to try out their service before they sign up. Also, CBP can now focus on their marketing activity and not worry about technical capability.

Cut back to 2007 March. Siemens Communications, Bangalore had a set of software applications that they wanted an external entity to manage and maintain. Vertizone/Bells was happy to design a solution for them. Their initial apprehension died after we presented them an engagement plan.

The Solution

Looking closer into their requirement, Siemens had 4 J2EE based, 4 .NET based and 2 VB based applications that had to be managed and maintained. We proposed a team of 7 people to handle this engagement. 2 J2EE developers, 2 .NET developers, 1 VB developer, 1 tester and ½ project manger. Two developers and ½ project manger were deployed from Vertizone and the other from Bells. The project manager was full time for the first quarter and ½ time there after.

Looking at Siemens application experts time schedules, we proposed KT schedule over 3 months. Other criteria for KT scheduling were:

• Application KT priorities set by Siemens.
• Siemens application experts’ time availability.
• Complexity of the application.
• Impact of application expertise dilution.
• Application usage - How many and who is using these applications with in Siemens?

After schedule presentation and a series of discussions over a weeks time a final KT schedule was released and application knowledge experts were made available to us. As usual, plan and the actual started getting wider after the first month and a half for the simple reason that subject matter experts were forcefully taken away into other departments with in Siemens. Merger between Nokia and Siemens to form NSN has a big role in SME transfers with in Siemens.

By going, or rather running the extra mile, and deploying additional resources we were able to tide over these tough times.

Conclusion

Siemens were happy over the whole effort which showed in contract extension after the first nine months into the engagement.
